Exhibitor Floor

Avoid Long Lines Onsite by Registering Your Booth Personnel in Advance!

Advance registration deadline is November 7.  NEW for 2008: Each exhibiting company will receive five (5) complimentary badges for each 100 square feet of exhibit space purchased.  There will be a $40 fee assessed for each badge produced over the complimentary allotment.  There are no refunds for badges purchased but not used.  Full details can be found online or within the Exhibitor Service Kit.

Guest Vouchers

A guest voucher allows a complimentary one-day only admission to the technical exhibits floor (a $300 value).  Guest vouchers are distributed directly by the exhibitor to the invited guest.  Direct your guests to Exhibitor Registration, located on Level 3 of the Grand Concourse.  They must present one guest voucher (on each day of use) and a business card in exchange for a name badge.  Guest vouchers will ship with booth personnel badges. 

The formula used to distribute guest vouchers is as follows:
100 – 900 sq. ft: 5 vouchers
1,000 – 3,900 sq. ft: 10 vouchers
Greater than 4,000 sq. ft: 20 vouchers

Move-In Assignments

Move-in assignments for RSNA 2008 have been posted.  Please plan the delivery date of your freight according to the Target Move-in Assignments, if your company is scheduled on a target date.  General installation will take place on Friday, November 28 and Saturday, November 29.  All booths must be show ready by 9:00 a.m. Sunday, November 30.

Booth Security

Companies wishing to hire security guards can do so through the online Exhibitor Service Kit before November 14.  After November 14, guard service can be arranged by contacting our meeting staff at the Exhibitor Help Centers. Click here for the Booth Security Form

Still Time to Order Your Internet Connection

Although the regular rate deadline has past, Internet service for your booth can still be secured at the on-site rate.  To place an order, please complete the RSNAnet Service Order Form and return to RSNA Technical Exhibit Service by November 7.   After November 7, please visit the RSNA Exhibitor Service Center during move-in to discuss the possibility of ordering service.

Exhibitor Code of Conduct

Each year, more than 25,000 exhibitor personnel work at more than 750 booths at the RSNA annual meeting. In order to make each exhibitor’s experience as productive and as rewarding as possible, RSNA has assembled an Exhibitor Code of Conduct that requires exhibitor personnel to behave in a professional manner at all times.

Because every tradeshow is different, it is important that you review the Code of Conduct (PDF) in advance of the meeting. It covers such topic areas as the access badge, exhibit hours, photography guidelines, marketing research and booth sound levels.

Please share this information with your booth staff. Copies of the Code of Conduct will also be distributed at RSNA 2008.

McCormick Place Business Center - FedEx Kinko’s
With a variety of situations that may arise at the meeting, McCormick Place offers the Business Centers operated by FedEx Kinko’s. If your company needs to make copies, send faxes, or make posters/banners during the meeting, FedEx Kinko’s is there to help. 

The McCormick Place Business Centers are located in three locations:


South Building: Grand Concourse, Level 2.5
North Building: Level 2
Lakeside Center: Level 2, near Gate 31

Meeting Solutions & Tips   

Getting To and From McCormick Place

Several options are available as you and your staff travel between McCormick Place and your hotel.  Some of the options include:

Shuttle Bus Service is provided from Saturday, November 29 to Friday, December 5.  Refer to the 2008 Pocket Guide or the RSNA website for complete information.
Taxi Shared Ride Program allows up to four passengers to be grouped according to their destination for a fare of $7.00 per person.
Taxi Pick-up:
South Building, Level 1............................Gate 4
Lakeside Center, Level 2..........................Gate 30

Metra Electric Train Service- All attendees (including exhibitor personnel) can use a complimentary Metra pass on trains operating between Randolph St/Van Buren St and McCormick Place from Saturday, November 29 to Friday, December 5.  Obtain your free pass at the Exhibitor Help Centers or the Metra Information Desk, located on Level 2.5 of the Grand Concourse.  Refer to the RSNA Pocket guide or website for a train schedule.

VIATAS Chauffeured Transportation - Executive Car and Limousine Service
Service is available to/from all Chicago airports and Private Aviation Centers.  In addition, point-to-point transfers and hourly charter service is available throughout the Chicago metro area.

Helpful Installation Tips at McCormick Place

Before heading to Chicago to set-up at RSNA, here are some helpful tips to ensure a smooth, efficient move-in experience.

  1. Make sure your instillation and dismantle company (contractor) is up to speed on the latest changes in Chicago trade show rules and that you discuss these changes as you plan your booth.
  2. Ask your contractor to work only on straight time unless otherwise approved.  Know the difference between straight time and overtime and put the new rules to work for you.
  3. Use a two-person crew whenever possible for move-in or tear-down.  Find out when a two-person crew can be used rather than three-person crew.
  4. Take advantage of greater flexibility in managing your own electrical connections and wiring.  Exhibitors who don’t require extensive electrical services for their booths have considerable flexibility in that aspect of booth installation and dismantling.
  5. Do your own A/V work when possible.  Exhibitors and their full-time employees can operate a video camera, VCR, and switching equipment- whether it’s battery powered or plugged into an electrical outlet.
  6. Small exhibitors take note: do your own assembly and decoration.  Full-time employees of exhibiting companies may do their own assembly and decoration in booths of 300 square feet or less.  For safety purposes, however, work involving power tools or ladders must be performed by carpenters.
